We’re looking for a part-time Executive Assistant to join team The Literacy Dive and support our CEO, Megan Polk. The mission of the Executive Assistant is to stay five steps ahead of the CEO, keeping up with all of the administrative details so she has the space to make her greatest contribution to the business.
The perfect individual for this high-growth position is someone who takes initiative, is detail-oriented, and has a positive mindset. We’re looking for a team player who is a problem-solver and is willing to jump in wherever needed. While repetitive tasks are part of this position, the tasks assigned can vary from week to week based on the CEO’s needs and the needs of the business.
The most important responsibility of the Executive Assistant is to ensure that administrative tasks and projects are completed with a high level of efficiency, accuracy, flexibility, and positivity in order to support business initiatives.
Responsibilities
Manage the CEO’s calendar and email inbox each week
Schedule, prepare the agenda, and delegate tasks from the team’s weekly meetings
Handle communication with schools (ie. creating quotes, following up with school representative(s), tracking payments, and sending invoices)
Support the CEO in marketing and sales projects – creating and/or keeping track of deadlines and jumping in wherever there is an immediate or direct need
Collaborate with the team as needed so everyone is successful in accomplishing the goals of the business
Handle personal and professional administrative tasks including, but not limited to, booking appointments, research projects, coordinating travel and reservations, customer service, ordering specific items or gifts, etc.
- Uploading files, images, documents, etc. to specific online platforms
- Create new systems (as needed)
- Write Standard Operating Procedures (SOPs) for new and existing processes and procedures
Requirements
Must be available to fulfill the majority of job responsibilities during the day (without distractions)
Recent teaching or coaching experience in upper elementary literacy (ELAR) is a plus
Previous experience in an assistant-type position is a plus
Proficient in PowerPoint, Canva, and G Suite tools
Willing to learn other platforms like Teachers Pay Teachers, Kajabi, Demio, WordPress, Captivate, ConvertKit, etc.
Job Details
10 hours per week ($20/hour)
Fully remote/work-from-home position
